ROLE SUMMARY

To manage the operational functionality of the busy Aintree depot including office administration and management of the warehouse.This role will involve day to day management of personnel, (removals operatives, supervisors, courier drivers and postal personnel) ensuring authorisation and tight cost control of weekly payroll/timesheets and recruitment and resourcing for projects.

This role will liaise directly with the client relations team at head office to ensure that projects are adequately resourced (people and assets) and the supervisors are fully conversant and knowledgeable on the scope of work.

A key focus of this role is to ensure excellent customer service, ensuring all jobs are efficiently planned and resourced appropriately, support business growth, cost control and strict adherence of health and safety (RAMS) procedures.

KEY RESPONSIBILITIES

General Warehouse Administration and Cost Control

Co-ordinate operational service delivery operatives pre and post move to ensure each relocation job is facilitated with the correct paperwork, vehicles and tools.

Management of all additional hire equipment for jobs (i.e. Stair Climbers / Skips) and negotiate cost effective hire rates

Coordinating FTS same day collections

To liaise with clients and suppliers to ensure FTS is delivering on promise.

Ensure all paperwork is allocated to the FTS CRM application within 24 hours of job completion.

To manage the warehouse and ensure that all items are stored in a safe and effective and efficient manner. Manage and coordinate stock/inventory control.

Co-ordination (along with client relations administrator) of all storage, specifically with third party providers to ensure all units are being charged and allocated back to the provider.

Management and administration of all documentation in Sage Act.

Ordering of FTS mail room and FTS Removals supplies (consumables).

Conduct client site visit to view their storage items.

Comply with all policies, procedures and standards.

On-Call duties as required

People Management

Manage, lead and guide the Supervisors removals team ensuring a professional and efficient job at all times. (focus on high standards of quality and great customer service)

Ensure that the FTS Supervisors and operatives reflect the professional reputation of FTS through their actions and behaviour (correct PPE, clean uniform/professional appearance, completion of key paperwork for every job, adherence to scope of job particulars)

Organising induction of new starters including necessary manual handling and RAMS training in conjunction with HR Manager/QHSE Manager and sign off as competent.

Responsible for day to pay people management and tracking/maintenance of training /compliance documentation.

Asset/Vehicle Management

Responsible for physical security for depot, compliance for employees and FTS building locations such as keys, access codes etc.

Responsible for the control and cost management of all vehicles, both FTS fleet and hire vehicles. In collaboration with the group QHSE Manager keep all vehicles MOT and servicing records up to date.

Responsibility and accountability for security of vehicles ensuring monitoring of keys, usage and return per day and clear tracking/visibility of any damage.

To provide weekly & monthly cost management reports on such items as fuel/vehicle hire/maintenance.

Work with the group HR / QHSE departments to ensure regular checks are conducted on drivers of all vehicles.

In collaboration with the FTS Transport Manager and CPC Holders, be accountable and ensure all vehicles are compliant with VOSA requirements

Integrate with the FTS CRM team in the sale of second hand furniture to ensure good commercial value and profitability for FTS.

Health & Safety

Co-ordinate and monitor all aspects of Health and Safety and Risk management in conjunction with Group QHSE Manager

Responsible for Health & Safety compliance, risk assessments, method statements etc.

Any other duties deemed necessary to fulfil the requirements of the role.

QUALIFICATIONS / EDUCATION

Previous people management, vehicle and fleet control along with warehouse management and administration experience essential

Experience of Microsoft packages including Word, Excel, Powerpoint and Outlook
